This personal data policy applies to all information that you provide to Kashmir Fund DK (hereinafter “KFDK”), and/or that KFDK collects about you, either as part of a membership/contributor or volunteer relationship or as a user of KFDK’s website. The policy states how KFDK processes your personal data and explains the rights you have when we process your personal data. You should read this policy and contact KFDK if there is information in the policy that you cannot accept. The overall legal framework for our processing of personal data is the EU General Data Protection Regulation (2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation)) and the Danish Data Protection Act No. 502 of 23 May 2018. KFDK is also bound by other legislation in relation to the processing of personal data, such as the Danish Accounting Act. A membership can be entered into either as a full membership or as a supporting member. In this personal data policy, members for both memberships are referred to as “member”.

All questions regarding this policy, the processing of your information and any suspicions of non-compliance should be directed in the first instance to KFDK at the above email address.
Depending on whether you are a member, contributor or volunteer with us, or simply a user of our website, we are obliged to process your personal data to such an extent that we can provide you with the services you request and that we can meet the obligations we have as a charity. This applies both when handling any contributions you may make and/or when we have to administer your membership with us. Each time we collect personal data about you, we inform you of the purpose of processing your personal data.
For members and contributors, we collect the following general personal information: name, address, zip code, city, mobile number, email address, registration and account number. We do not collect any sensitive information about you and we do not collect any information about you from others.
Our website uses “cookies” to collect web statistics. A cookie is a small text file that is sent from our server to your browser and stored on your computer’s hard drive or your mobile device. Cookies mean that you can use the website more efficiently and easily. We do not process information about user behavior collected via cookies in a way that can connect user behavior with specific individuals. You can set your browser to inform you when you receive a cookie so that you always have the opportunity to decide whether to accept it. You can also choose to turn off the function completely. However, if you do so, the website will not function optimally. Cookies do not contain personal information such as information about your email address, your membership information or other personal information other than what is stated in this policy.
We use your personal information for several different purposes depending on whether you are a member, contributor or volunteer, or whether you are simply a user of our website.
We provide a number of services to you as a user of our website, including registration for events and registration as a volunteer. When you use our website, a number of data are collected if you agree that we may collect cookies, see more in section 5.
As a visitor to KFDK’s website, we process your name, contact information, as well as account and registration number, when relevant. Your personal information is processed depending on whether you make a contribution, choose to become a member or would like to volunteer with us. Please refer to the respective sections on this.
Because the processing of your information is necessary for us to provide the right services for users, fulfill our agreements with users and handle inquiries and the like prior to any conclusion of agreements with KFDK. Where relevant, we ask for your consent before processing.
We store your personal information for the time you are affiliated with KFDK.
We process your personal information to be able to administer your payments and send you necessary information about your contributions.
For everyone, we process your name and contact information. For people who make a contribution, we also process the account and registration number.
It is in KFDK’s interest to store information on people who make a contribution. We are required by the Accounting Act to store information about contributors for five years plus the current year. The processing of your information is necessary for us to be able to administer all contributions.
If you are a contributor to KFDK, we will store your personal data for the time you are affiliated with KFDK and 5 years plus the current year from your last contribution in accordance with the Danish Accounting Act. Contributors are registered in a database at KFDK. If you have entered into a payment agreement, the Danish Payment Services Act requires that KFDK must be able to document that an agreement has been entered into up to 13 months after the contractual relationship has ended.
If you are a member of KFDK, we use your personal data to be able to administer your membership and contact you regarding your membership and to be able to send you necessary information about your membership and to give you the right to vote at KFDK’s general meeting, if you have a full membership.
Name and contact information.
When you enter into a membership agreement, it is in KFDK’s interest to register your membership so that we can administer your membership and ensure that you can exercise your right to vote at KFDK’s general meeting.
We store your data for 5 years plus the current year after you have unsubscribed from KFDK. We do this because it is a requirement in the Danish Accounting Act.
If you are a volunteer at KFDK, we use your personal data to be able to administer your affiliation with our organization and to be able to send you information and any material in connection with activities.
When you participate in our activities, we typically need your name and contact information so that we can coordinate and communicate with you about the activity.
It is in KFDK’s interest to process the information that is necessary to be able to carry out the activity in question. If we do not have your name or your contact information, we cannot communicate or coordinate with you about your participation in the activity.
If you are a volunteer at KFDK, we will store your personal data for the time that you are affiliated with KFDK.
In relation to selected processing of personal data, it may be necessary to share your personal data with suppliers, partners and authorities. For example, these may be suppliers who host our IT solutions or assist KFDK with our IT operations. We also share your information to the extent that we are obliged to do so as a result of reporting requirements to public authorities.
When we process your personal data, you have a number of rights that you can exercise. These are reviewed below. If you wish to exercise one or more of your rights, please write to KFDK at kashmirfund@yahoo.dk.
If you are obliged to provide information about yourself to KFDK, this will be stated where we collect the information. If you do not want to provide the personal data that we request, it may have the consequence that we cannot provide you with the services that you request, register you as a contributor, etc.
You have the right to access the personal data that we process about you, as well as to know for what purpose they were collected.
You have the right to request correction, additional processing, deletion or blocking of the personal data that we process about you. Under special circumstances, you have the right to have the processing of your personal data restricted.
You have the right to receive your personal data in a readable format.
You have the right to ask KFDK not to process your personal data in cases where the processing is in KFDK’s interest.
If you have given your consent to us processing selected personal data about you, you have the right to withdraw your consent in relation to the data covered by the consent. The fact that you withdraw your consent does not affect the lawfulness of the processing that was carried out before you withdrew your consent. If you wish to withdraw your consent to receive information about/from KFDK, including by regular mail, e-mail, telephone or via other electronic means, you can do so at any time by writing to kashmirfund@yahoo.dk.
There may be conditions or limitations attached to the exercise of the above rights. It is therefore not certain that you, for example, have the right to data portability in the specific case – it depends on the special circumstances of the processing activity in question. In certain cases, we are also legally obliged to process personal data about you. This may, for example, be used to document transaction traces and the like pursuant to the rules of the Accounting Act. Among other things, we must store accounting material for 5 years from the end of the financial year to which the accounting material relates. Therefore, there may be cases where we will not be able to meet your request, for example, to be deleted. If you wish to exercise your rights, we are obliged to ask you to identify yourself, for example by asking to see an ID card with a photo. If you do not wish to be contacted by KFDK in the future, you must consent to us registering you. This is the only way we can ensure that we do not contact you again.
At KFDK, we continuously update our internal rules and procedures for maintaining appropriate security from the time we collect personal data until deletion, and we only entrust our processing of personal data to data processors who maintain a correspondingly appropriate level of security and with whom we have entered into a data processing agreement.
